Privacy Policy
Bear Crest Livery (“Bear Crest,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect, how we use it, with whom we share it, and the choices you have. It applies to our website, reservation system, rider communications, and related services (together, the “Service”).
1. Information We Collect
We collect information in the following categories:
- Identity & contact data — first and last name, email address, and phone number.
- Booking data — ride type, pickup and drop-off addresses, date and time, passenger count, distance/duration, flight number, ride preferences (music, cabin temperature, extras), and notes you choose to share.
- Payment data — card authorization and transaction information is processed by our payment provider, Stripe. Bear Crest does not store full card numbers on our own servers; we receive tokenized references and transaction metadata.
- Location data — pickup and drop-off locations you enter, and, where applicable, limited geolocation used to compute routes and fares via mapping services.
- Account data — if you create an account, credentials and profile preferences managed through our authentication and database providers.
- Communications — messages you send us (email, in-app, or SMS) and records of service-related notifications we send you.
- Device & usage data — IP address, browser type, operating system, referring URL, pages viewed, and similar diagnostic data collected automatically.
- Cookies & similar technologies — used to keep you signed in, remember preferences, maintain session security, and, where applicable, measure performance.
2. How We Use Information
We use the information we collect to:
- Provide, operate, confirm, and dispatch rides you book.
- Authorize, process, and settle payments and issue receipts.
- Communicate with you about reservations, schedule changes, and support.
- Calculate distance, route, and pricing via third-party mapping services.
- Verify identity, prevent fraud, and enforce our Terms of Service.
- Maintain records required for tax, accounting, safety, or regulatory purposes.
- Improve the Service, diagnose technical issues, and develop new features.
3. Legal Bases for Processing
Where required by law, we rely on the following legal bases: performance of a contract (providing the ride you book), our legitimate interests (operating a safe and reliable business, preventing fraud, improving the Service), compliance with legal obligations, and your consent (where applicable, such as certain marketing communications).
4. How We Share Information
We do not sell your personal information. We share information only as needed to operate the Service:
- Drivers & dispatch staff — rider name, contact info, pickup/drop-off, flight number, and preferences necessary to complete the ride.
- Payment processor (Stripe) — to authorize, capture, refund, and reconcile charges.
- Database & auth provider (Supabase) — to store reservation and account records.
- Email / SMS providers — to deliver confirmations, receipts, and dispatch notifications.
- Mapping & routing providers — to calculate distance, time, and routes.
- Professional advisors — accountants, auditors, and attorneys, under confidentiality obligations.
- Law enforcement or regulators — when required by law, subpoena, court order, or to protect safety, property, or legal rights.
- Successors in interest — in connection with a merger, acquisition, or sale of business assets, subject to this Policy.
5. Data Retention
We retain reservation and financial records for as long as reasonably necessary for the purposes described in this Policy and to comply with applicable tax, accounting, legal, insurance, and safety obligations. Account records are retained while your account is active and for a reasonable period afterward. Records may be retained longer where required to resolve disputes or enforce our agreements.
6. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. Payments are handled by Stripe under its own PCI-compliant infrastructure. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Your Rights & Choices
Depending on where you live, you may have the right to access, correct, delete, or receive a copy of your personal information, to object to or restrict certain processing, and to withdraw consent where processing is based on consent. To exercise these rights, contact us using the information at the end of this Policy. We may need to verify your identity before responding and may retain information where a legal exception applies.
8. California Residents
If you are a California resident, you may have additional rights under the California Consumer Privacy Act, including the right to know what categories of personal information we collect, the right to request deletion, the right to correct inaccurate information, and the right not to be discriminated against for exercising your rights. We do not sell personal information, and we do not knowingly share personal information for cross-context behavioral advertising.
9. Children
The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, please contact us and we will take appropriate steps to delete it.
10. International Users
Bear Crest is based in the United States and operates the Service from the United States. If you access the Service from outside the United States, your information may be transferred to, stored, and processed in the United States, where privacy laws may differ from those in your jurisdiction.
11. Third-Party Links & Services
The Service may contain links to, or integrate with, third-party sites or services. We are not responsible for their privacy practices. We encourage you to review the privacy notices of any third parties before providing them with personal information.
12. Changes to this Policy
We may update this Policy from time to time. Material changes will be indicated by updating the effective date above. Your continued use of the Service after changes take effect constitutes acceptance of the revised Policy.
